Booking conditions

GENERAL CONDITIONS FOR SPACES RENTAL AND EVENTS

Prices include rooms rental and optional visit to the facilities.
During the celebration of the event, Codorníu offers an outstanding staff responsible for the correct achievement of the whole event: monitoring, maintenance, cleaning, etc.
The space rental is for a whole day. If any other day for the assembly is required, there will be an extra fee per day.
The event is organised by the customer. There is no exclusive catering, photographer, florist, etc.
The end times of the event are:
Meals: 22 p.m.
Dinners: 3 a.m.
If the end time is exceeded, an extra fee will be charged.
The introduction of hazardous substances, flammable materials or pyrotechnics elements is forbidden.
For hygiene and safety reasons, entering or keeping in the room any kind of animal is strictly forbidden.
Smoking is not permitted in the facilities.

ASSEMBLY, CLEANING AND MAINTENANCE OF THE FACILITIES

Codorníu offers a cleaning service which consists of cleaning the spaces before the event, offering a maintenance person during the event, and cleaning again after de disassembly. This cleaning does not include the removal of materials used for preparing the event and catering (flowers, carpets, candles, food, bottles, etc.) which must be removed by the customer itself at the end of the event.
Once the disassembly completed, the client agrees to leave rooms in the same condition he found them.
Catering operators and assembly companies are responsible for the waste removal service.
The client has to bear the cost of any damage caused in the space or materials ceded or present in the room.
Codorníu staff’s lunch/dinner will be borne by the client.

REGULATIONS AND SECURITY

The client agrees to have all permits, licenses and authorisations in compliance with all obligations concerning to legal, labour, prevention, safety and health, and Social Security aspects and others, that could be relevant concerning to staff or to professionals hired to offer services during the event.
The client shall contract or require its suppliers to contract a liability insurance covering possible risks and damages of the event and of its attendees and hired staff as well.

DOCUMENTATION TO BE HANDED IN

In order to comply with the provisions of Article 24 of Law 31/1995 on Prevention of occupational risks and the Royal Decree 171/2004 of development of the same, freelancers staff and companies, whether directly contracted or subcontracted by third parties, developing activities in CODORNÍU GROUP facilities, will hand in the following documentation to our Prevention Service, always prior to the beginning of work:

    • List of workers (with DNI) who will access CODORNÍU facilities, as well as their TC2, SS register documents or the last payment receipt for freelancers.
    • Risk assessment and preventive planning applicable to the activities to be developed in CODORNÍU facilities.
    • Certificates of training and information on prevention of the staff that will access CODORNÍU facilities.
    • Certificates of specific training in case of requiring its accreditation (fork-lift truck license, legionella treatment, etc

)

  • Medical certificates of the staff that will access CODORNÍU facilities.
  • Certificates of EPIS reception to staff that will access CODORNÍU facilities.
  • Safety data sheets for the chemicals to be used by the staff of the external company or freelancer workers in CODORNÍU facilities.
  • Conformity certificates of the machinery used by the staff of the external company or freelancer workers in CODORNÍU facilities.
  • Payment receipt of SS and AT registrations.
  • Written proof of having an insurance of civil liability
  • Written proof of registration in REA (Register Accredited Companies, only construction companies).

 

We remind you that in order to gain access to Codorníu facilities it is necessary to previously get the credentials, so as to directly accede such facilities the day of the event.

The information requested in items 1 to 5, both included, is essential to authorise the access of your operators to our facilities.

SERVICES INCLUDED

  • Space rental during the agreed time
  • Optional visit to facilities
  • Cleaning of the facilities before and after the event
  • Responsible for Codorníu during the event
  • Supervisor in assembly and disassembly
  • Maintenance person
  • Air conditioning
  • Consumption: running water and electricity (*)
  • Audiovisual room: projector and screen.

(*) When installation requires an extra consumption, there will be an extra cost. This assessment will be carried out by our technical department.

WINE AND CAVA CONSUMED OR GIVEN AS A PRESENT

During the celebration of the event at the venue, wine and cava consumed/given as a present should always be from Codorníu Group.

PAYMENT CONDITIONS

The area selected for the client will be considered as reserved only when the contract is signed and 50% of the total rental amount is deposited.

A week before the event the remaining amount shall be paid.

CANCELLATION OF THE EVENT

Within 3 months prior to the date of the event, no payment will be refunded.
Between 3 and 6 months prior to the date of the event, 50 % of the deposit will be refunded.
Between 6 and 9 months prior to the date of the event, 75% of the deposit will be refunded.
9 months or more prior to the date of the event, the whole deposit will be refunded, except for bank charges.
